A generated PDF quote is a business record, not just a styled printout. It needs
the right customer details, an agreed calculation source and a clear status. Your
staff should know whether they are looking at a draft, an approved quote or a replacement
for an earlier version.

If you are considering [custom WordPress PDF quote development](https://jagjeetsingh.in/custom-wordpress-plugin-development/),
start with a sample quote and the decisions behind it. I can scope the data flow
and approval journey before selecting a renderer or building a download interface.

## Define the quote lifecycle before its appearance

Write the states a quote can pass through: draft, awaiting approval, issued, replaced
and expired might be appropriate for one business. Another may need fewer states.
Name the person allowed to move it between them, and agree which changes require
a new version.

A quote number should identify the business record consistently across the interface,
PDF and subsequent communications. Decide whether an issued quote can be edited
or whether changes create a new edition. This is particularly important when several
staff members prepare quotes. A convenient editor should not make it difficult to
explain which offer was actually sent.

## Choose the authoritative source for each value

A quote form may combine customer data, selected services, quantities, rates and
staff-entered notes. Identify where each value comes from and who can change it.
If prices are maintained elsewhere, decide whether WordPress receives a snapshot
or asks the source system at generation time.

Here is a hypothetical scope matrix:

| Value | Source | Approval question |
| Customer identity | Selected customer record | Can staff correct it? |
| Line description | Approved service list | Is free text permitted? |
| Rate and quantity | Agreed pricing source | Who authorises an override? |
| Validity date | Business rule | Can a manager extend it? |
| Terms | Approved template version | Which edition must be retained? |

## Keep calculations and business approval explicit

Supply representative calculations with the expected totals, rounding and permitted
adjustments. If tax, currency or other specialist rules are involved, have the business’s
responsible adviser approve the requirements. A developer can implement a defined
rule but should not invent your accounting policy.

Decide whether a staff member can prepare a quote without permission to issue it.
If approval is required, the final PDF should use the approved snapshot. Changing
a customer record later should not silently rewrite a previously issued quote. The
brief should also cover what happens when a source value is unavailable or an integration
returns an incomplete response.

## Test the actual PDF renderer with difficult samples

Browser layouts and PDF layouts are different outputs. The [Dompdf project documentation](https://github.com/dompdf/dompdf),
for example, describes an HTML-to-PDF renderer with supported features and limitations.
It is one possible tool, not a promise that any web design will reproduce identically
in a document.

Use sample PDFs with long descriptions, several pages, special characters, varying
addresses and the fonts your brand requires. Check page breaks, repeated table headings,
totals and the placement of terms. Confirm whether the document needs selectable
text and any accessibility requirements. Approve these representative outputs before
building the full workflow around a template.

## Treat access and retention as separate decisions

Decide who may generate, preview, download and resend each quote. A private administration
screen does not automatically make an exported file private. The delivery design
should prevent someone from retrieving another customer’s document merely by changing
a reference in a URL.

WordPress’s [custom endpoint guidance](https://developer.wordpress.org/rest-api/extending-the-rest-api/adding-custom-endpoints/)
includes permission and validation controls relevant to generation requests. The
wider scope should also name the retention owner, where documents are stored and
how deletion requests are handled under your policy. Avoid placing unnecessary sensitive
details into filenames or public links.

## Decide what is stored and what can be regenerated

Some projects need the exact issued PDF retained. Others also need structured line
data, the template version and an approval record so staff can explain its contents.
Regenerating a document from today’s settings can produce a different result from
the one originally sent.

Agree the minimum record needed for your operation and how it is exported at handover.
If you connect a customer or accounting system, identify which application owns
the quote status. My [business-tool integration guide](https://jagjeetsingh.in/wordpress-api-integration-business-tools-guide/)
outlines related questions about account access, record ownership and failed transfers.
A PDF attachment should not become a substitute for a coherent source record.

## Use a release checklist that goes beyond visual approval

Ask for a documented acceptance set with known inputs and expected results:

 * A draft remains clearly distinguishable from an issued quote.
 * Approved calculations match the supplied examples.
 * Long descriptions and multiple pages remain readable.
 * An unauthorised visitor cannot download another record.
 * A repeated generation attempt follows the agreed numbering rule.
 * Issued documents remain unchanged when template settings change.
 * A failed generation leaves a recoverable status for staff.
 * Exports include the records agreed for handover.

These checks make it easier to compare implementation proposals and avoid approving
an attractive PDF that your staff cannot safely manage.

## What to include when requesting a quote

Send an anonymised document, a completed input example, calculation rules, approval
roles and the systems involved. State the expected volume, whether quotes are staff-
created or visitor-requested, and who owns the final wording. Identify any existing
template or integration you need to keep.

My [custom plugin commissioning guide](https://jagjeetsingh.in/custom-wordpress-plugin-development-guide/)
can help frame the feature boundaries. I can then propose a [WordPress plugin development scope](https://jagjeetsingh.in/custom-wordpress-plugin-development/)
covering generation, administration, access and acceptance. A bounded first version
is easier to review than a vague promise to automate every quoting activity at once.
