A consultancy can lose track of a proposal when the English document, revised French scope and latest client response sit in separate folders. A custom CRM for a Swiss service firm should show which proposal version is current and which decision is still outstanding. The project starts with the relationship between the opportunity, its documents and the people who approve them.

Create one opportunity with explicit proposal versions

Keep the client opportunity separate from each proposal document. A revised scope or language version should have a reference and a relationship to the proposal it replaces or accompanies. Do not use the most recently uploaded filename as the only evidence of what the client received.

Record the service scope, language, recipient and review status for the current proposal. Preserve the earlier versions needed to understand the discussion. The CRM should make the latest approved offer clear while retaining the history that explains it.

Distinguish translation from commercial revision

A translated proposal may express the same offer; a revised proposal may change deliverables, timing or fees. Label those differences so the team does not accidentally treat a translation as a new commercial approval.

W3C’s HTML language guidance explains identifying the language of web content. A multilingual CRM interface can apply the appropriate technical language information, but the business still needs a qualified reviewer for the proposal wording and terminology. Technology cannot establish equivalence between legal or commercial texts by itself.

Retain the approved currency context

If proposals use different currencies, keep the currency and approved amount attached to the relevant version. Avoid displaying an automatically converted total as though it were the client’s agreed offer. Any conversion, accounting or reporting rule comes from the business’s authorised process.

The developer implements the agreed fields and workflow; the business approves its commercial and accounting treatment. A pilot can track references and decisions first while a financial-system connection is assessed separately.

Define internal and client decision states

Separate draft, internal review, sent, clarification requested and accepted through the agreed process. A salesperson marking an opportunity as promising should not imply that the client has accepted a particular proposal.

Give each outstanding review a person and next action. Where the system sends a document or reminder, define which version is sent and when the automation must stop. Human approval should remain visible where it forms part of the consultancy’s process.

Review a changed proposal end to end

Use fictional examples with a translated document, an altered scope and feedback from a different client contact. Ask the team to identify what was sent, what changed and what they can act on next. Review the exported or connected record as well as the dashboard.

  • The current approved version is identifiable.
  • The intended language and recipient are recorded.
  • Amounts retain their approved currency context.
  • Internal review is distinct from client acceptance.
  • The next decision has an owner.

Can this connect to document or accounting tools? Potentially, after their supported access and operations are assessed. Include the exact handover requirement in the first brief.

Discuss a scoped implementation

Describe your proposal versions, languages, approval stages and current tools. An anonymised example of a changed proposal will help scope a custom implementation for your Swiss consultancy.
