Illustrative workspace. Screens show concepts, not a delivered client system.

A buyer contacts your Dubai brokerage about a particular property, but the enquiry record reaches an agent without its listing reference or original question. The next conversation then starts by asking for information the visitor already supplied. A real estate CRM brief should preserve that context and define who owns the next action.

My real estate CRM development service is an assessed custom development and implementation offer, delivered remotely from India. The workflow, fields and integrations are agreed for the brokerage rather than presented as an already-installed product.

Separate the contact, enquiry and property record

One person may enquire about several properties over time. Keeping their latest message inside a single contact note can obscure which listing started each conversation. Decide how the contact, enquiry and property reference relate to one another.

Store the source and the reference supplied at enquiry time, alongside the current listing record where available. A property may later be withdrawn or changed. The team still needs to understand what the person originally asked about without treating stale details as current availability.

  • Contact details and preferred communication language.
  • Listing or campaign reference supplied with the enquiry.
  • The original question and source.
  • Owner, next action and follow-up date.

Confirm portal access before promising an integration

Property Finder’s Developer Network integration guide describes an onboarding and approval process before API documentation and test access are granted. That means a portal connection depends on the supported access and authorisation, not merely the portal name appearing in a feature list.

For any listing or lead source, ask the account owner what access is available and what operation is supported. Record the fields delivered, the identifier used and the permitted destination. A website enquiry, an authorised portal API and a manually entered message are different input paths.

Scope a technical sample where access or behaviour is uncertain. Do not commit to a complete bidirectional connection before that dependency is understood.

Define assignment and fallback rules

Agree how an enquiry reaches its first owner. The listing agent, language capability, team rota or another explicit rule may be relevant. Record the fallback when the intended owner is unavailable and the role allowed to change an assignment.

Enquiry situationRule to agree
Known listing referenceWhich responsible team or agent receives it
Several properties mentionedHow the enquiry remains connected to each interest
No reference suppliedWho clarifies the requirement
Repeat contactHow a new enquiry relates to existing history
Unavailable ownerWho receives or reviews the next action

The CRM should make an assignment reviewable. An automation that distributes records without a clear owner or exception route may create more uncertainty for the sales team.

Treat viewing follow-up as a task with an outcome

A viewing request needs a proposed time, a responsible person and a clear confirmation boundary. Decide whether the CRM records a request, creates an internal task or connects to an approved scheduling system. Those are different behaviours.

Keep rescheduling, cancellations and feedback linked to the original enquiry. A completed viewing should produce the next agreed action or an explicit outcome, rather than disappear from the queue. If the visitor changes their property requirements, decide whether that creates another enquiry or updates the existing one.

Use the brokerage’s approved property and advertising content. The development scope implements the record and workflow decisions; the business owns the accuracy and approval of its listings.

Review the data and exception handling

Prepare authorised examples covering multiple interests, a missing listing, repeat submissions and an unavailable agent. Test whether the original context remains visible after an assignment or status change. A matching total of imported leads does not prove the records are related correctly.

  • The listing reference and original question are preserved.
  • New enquiries are distinguished from repeated transfer attempts.
  • The intended owner and next action are visible.
  • Failed integrations can be identified and resolved.
  • Roles restrict the records and actions users may access.

If spreadsheets or an existing CRM are involved, agree the source identifiers and migration boundary. The CRM data migration checklist helps prepare that separate task.

Pilot one channel before expanding the system

A useful first release can focus on one website enquiry route, its property reference, ownership and viewing task. Ask the agents who will use it to review the actual workflow with fictional sample records. Add another source only after its access and handling are understood.

Does a custom CRM replace every brokerage tool? It may implement a specific workflow or connect to an existing system. Decide the architecture from the business requirements.

Can portal and messaging connections be included? Potentially, where supported access, permissions and a reviewable operation are available. Each connection belongs in the scope.

Will CRM automation create new buyers? This workflow improves handling of received enquiries. Generating traffic and winning instructions are separate business activities.

Request a property-enquiry implementation brief

Share the enquiry sources, current tools, property identifiers and assignment rules. Include the viewing process and the places where context is lost. Describe portal access at a high level; arrange credentials and approved examples during the project setup.

I can assess those requirements and propose a custom CRM pilot or integration scope for your Dubai brokerage. Discuss your property enquiry and viewing workflow to agree the first usable channel and its acceptance checks.
