Custom CRM for Brunei Service Companies: Connect Quotations, Jobs and Dispatch
A custom development guide for keeping the approved quotation and the scheduled service job connected.

Illustrative workspace. Screens show concepts, not a delivered client system.
A service enquiry becomes difficult to manage when the quote lives in one spreadsheet, the job date in a calendar and the customer’s latest instruction in a message thread. For a Brunei service company, a custom CRM pilot can connect those records without attempting to replace every operational tool at once. The first decision is which handover currently loses the most context.
Separate a quotation from an authorised job
A quotation describes proposed work. A job represents work the business has accepted through its agreed approval process. Keep their references and statuses distinct so a draft or superseded quote cannot accidentally appear on the dispatch schedule.
Record the quotation version the customer approved and the person who confirmed the job. If an appointment is only tentative, display that clearly. The CRM should implement the business’s approval rules rather than turn every positive email into a confirmed commitment.
| Stage | Record to retain |
|---|---|
| Enquiry | Requested service and context |
| Quotation | Version, scope and review state |
| Job | Accepted work and responsible owner |
| Dispatch | Planned visit and assigned team |
Define the job information the field team needs
Agree the service location, site contact, access instructions and work summary required for dispatch. Not every office note needs to reach every field user. The proposed record should contain what the assigned team needs to perform the authorised work.
If a WordPress-based implementation is appropriate, its roles and capabilities model offers a basis for controlling actions. Custom records still need their own permission design and review. A role name alone does not prove that the right customer information is restricted.
Make changes visible after acceptance
A changed site address, date or work requirement should create a reviewable change to the job. Decide which changes need another quote and who can approve them. Avoid overwriting the original agreement without preserving the information needed to explain the change.
The field team should know which job version it is acting on. If the system sends a notification, include the reference and changed information rather than a vague “job updated” message. Keep a clear owner for any unresolved customer confirmation.
Choose the scheduling boundary
Decide whether the CRM records a requested date, allocates a team or connects to an existing scheduling tool. Those are different scopes. Capacity, travel and specialist skills may remain decisions for your dispatcher rather than automatic promises made by the system.
Plan what happens when a team member is unavailable or a visit is rescheduled. A task should remain visible until its owner records an outcome. Where mobile access is needed, review the real connectivity and device arrangements before assuming a fully offline workflow is included.
Pilot a full service job with exceptions
Use fictional examples for a quote revision, a postponed visit, incomplete work and an additional charge requiring review. Ask the office and field users to identify the current instructions from the same records. A visually attractive board is not enough if they still need separate messages to understand the job.
- The approved quotation is linked to the correct job.
- Dispatch sees the current authorised instructions.
- Changes have an owner and review state.
- Completion and follow-up are distinct actions.
- Failed notifications or transfers are visible.
Can this connect to accounting? Potentially, after assessing supported access and the exact operation. Start with an agreed handover record if the integration is not yet established.

Discuss a scoped implementation
Describe your quotation, acceptance, scheduling and completion stages. A few anonymised job examples and the tools involved will help define a useful custom CRM pilot for your Brunei team.
