AI Support Chatbots for China-Based Exporters: Answer from the Correct Product Manual
A support-assistant brief focused on identifying the right product and manual before generating a customer-facing answer.

A product-support answer can be wrong even when it accurately quotes a manual—if the manual belongs to another version. For a China-based exporter, a customer chatbot pilot should first establish the product context and approved source collection. The useful outcome is a supported answer or a clear escalation, rather than a fluent response assembled from unrelated documents.
Map products to their approved manuals
List product references, relevant versions and the support documents intended for customers. Decide how the visitor identifies the product without exposing unnecessary personal information. A model name, document language or production revision may change the appropriate source.
Keep withdrawn manuals and internal-only notes out of the public collection unless the scope explicitly handles them. The business owns the accuracy and publication approval of the source material. The assistant needs a maintained mapping, not an unreviewed folder upload.
Show the source used for an answer
A useful response links the relevant manual and section the customer can open. The interface should distinguish an answer supported by the selected version from a general suggestion that needs staff review. When the product context is unclear, ask an appropriate clarification rather than select a version silently.
If more than one language is included, use approved documents and qualified language review. A multilingual interface does not establish that the technical meaning of every answer has been verified.
Keep source content from becoming operational authority
OWASP’s prompt-injection overview describes risks from instructions embedded in external material and notes that retrieval does not eliminate them. Treat manuals and visitor messages as information to assess, not permission for the assistant to change its role or execute actions.
Limit the pilot to the supported support task. Do not give it unrelated account or operational actions merely because a conversational interface makes them possible. Evaluate the actual boundaries in the chosen implementation.
Provide an escalation with useful context
When a source cannot establish the answer, route the product reference, question and permitted conversation summary to staff. The support person should be able to continue without making the customer repeat the identification process.
A public support enquiry should avoid collecting private documents indiscriminately. Use the business’s approved contact and information-handling arrangements. If the assistant cannot save or transfer the request, display an honest fallback instead of claiming the team received it.
Evaluate version confusion and missing answers
Use fictional cases for a known product, a similar model, a withdrawn manual and a question outside the approved sources. Ask a product expert to review correctness, citations and escalation. A conversational rating alone does not establish useful technical support.
- The correct product and document version are selected.
- The cited source is available to the customer.
- Missing evidence does not become an invented answer.
- Untrusted content cannot authorise actions.
- Staff receive a usable escalation.
Can the assistant replace product experts? It can support defined information tasks. Experts remain responsible for approved guidance and cases outside the pilot’s scope.

Discuss a scoped implementation
Share the product-reference structure, approved public manuals and common support questions. We can scope a limited chatbot and expert review before expanding to more products or connected actions.
