When a small team repeatedly asks where to find the current procedure, an internal knowledge assistant may help staff locate an answer and its source. The first project for a Brunei SME should focus on a well-owned document collection, not an unrestricted chatbot that tries to answer every business question. The useful outcome is a reviewable answer or a clear route to the right person.

Choose a procedure collection with an owner

Pick a department or recurring task where approved instructions already exist. List the current documents, their owners and the questions staff actually ask. If several files contradict one another, resolve that before expecting the assistant to select an authoritative answer.

Keep outdated drafts out of the initial collection unless the project explicitly needs historical search. Give each approved source a reference and review date. The document owner remains responsible for its accuracy; the assistant’s job is to help people retrieve and understand the permitted material.

Show the source behind the answer

Require the interface to link the supporting document and relevant section. A fluent answer without a traceable source makes it harder for a staff member to check an unfamiliar procedure. Decide what the assistant should do when the available information is incomplete or conflicting.

Microsoft’s document-level access guidance illustrates that retrieval systems need permissions as well as search. Platform options differ, including preview capabilities, so the technical design must assess the chosen production setup. The general requirement is that the user receives only information they are permitted to access.

Define a useful unanswered-question route

The assistant should be able to say that it cannot establish an answer from the approved sources. Offer the responsible team or a request-for-clarification route instead of generating a plausible instruction. Capture the missing topic without automatically adding an unreviewed answer to the knowledge base.

Review unanswered questions with the document owner. They can reveal a missing procedure, confusing wording or a question outside the pilot’s purpose. That feedback process is often as important as the first search interface.

Keep actions outside the first pilot unless justified

Answering a procedure question and carrying out a business action are different scopes. A first assistant can locate the approved purchasing steps without creating an order, changing a customer record or sending a message. Add an action only when its permissions, confirmation and failure handling have been assessed.

Label demonstration data and concept screens clearly. The prototype should show the proposed behaviour without being mistaken for a deployed system or evidence that the organisation has approved an automated decision.

Evaluate questions with the actual users

Prepare a set of ordinary questions, ambiguous wording, an outdated-policy question and requests the assistant should decline or route to a person. Review correctness, source relevance and access behaviour, rather than judging the pilot by how conversational it sounds.

  • Does the answer use the current approved source?
  • Can the staff member open the reference?
  • Are restricted materials excluded?
  • Does uncertainty lead to a useful next step?
  • Can an owner update or withdraw a document?

Will this remove the need for document maintenance? No. The assistant depends on a maintained source collection and an accountable review process.

For the wider implementation decisions, see the document-based knowledge assistant guide.

Discuss a scoped implementation

Describe one procedure collection, its owner, intended users and the recurring questions. We can scope a limited custom assistant and its evaluation before considering wider sources or business actions.
