AI Knowledge Assistants for Luxembourg Teams: Retrieval That Respects Document Access

A development assessment guide for an internal assistant whose retrieved sources must respect the user’s actual document access.

An internal AI assistant should not make a restricted document available merely because someone asked a well-phrased question. For a Luxembourg organisation assessing knowledge-assistant development, permissions belong in the retrieval design from the beginning. A useful pilot demonstrates both an answer the user may receive and a restricted source the same user must not receive.

Inventory the identity and document boundary

Choose a limited document collection and identify how users are authorised to access it today. Record the identity system, document permissions and content owners. The assistant’s audience may differ from the audience of a public website chatbot.

Decide which sources belong in the pilot and which remain excluded. A broad upload of internal folders can conceal conflicting access rules and stale copies. Start with a collection whose permissions and update responsibilities can be assessed.

Apply access before exposing retrieved information

Microsoft’s document-level access overview describes several approaches to filtering retrieved records by permission. Some platform capabilities are marked preview and have deployment limits. The implementation must assess the chosen production approach rather than assume every listed feature is ready for the organisation’s workload.

The requirement is broader than hiding citations after an answer is generated. Restricted material should not become part of an unauthorised answer or a visible source preview. Test the actual data path and identity context.

Treat permission updates as part of freshness

A document may remain accurate while a user’s right to read it changes. Define how permission changes reach the retrieval index and what the system does during that interval. The owner needs to understand any delay or operating limitation.

Also define how withdrawn or superseded content is removed from answers. A search index is another representation of the source collection; it requires an update and reconciliation process. Do not assume that changing the original folder immediately updates every derived record.

Show useful sources without overstating certainty

Return a source reference the user is authorised to open, with enough context to assess the answer. If the accessible collection cannot establish an answer, the assistant should say so and offer an appropriate owner or clarification route.

Keep actions separate from retrieval. The first pilot can answer from approved documents without changing permissions, sending messages or making business commitments. Any later action requires its own assessed authority and confirmation behaviour.

Evaluate permitted and forbidden cases together

Build a fictional test set with two user roles, an authorised source, a restricted source and a permission change. Ask domain reviewers to assess answer accuracy and access behaviour. A helpful answer score alone cannot establish that the access boundary works.

  • The query uses the intended user identity.
  • Restricted sources do not appear in answers or previews.
  • Permission changes follow a documented update process.
  • Citations remain accessible to the user.
  • Unanswerable questions have a useful fallback.

Does a vendor feature certify the whole solution? No. The architecture, configuration, tests and operating process must be assessed together for the organisation’s requirements.

Discuss a scoped implementation

Describe the first source collection, identity system, user groups and document owners. We can scope a custom knowledge pilot and its access evaluation without asking you to upload confidential material through a public form.
