A hotel can have a booking engine and still manage important enquiries across inboxes, calls and staff spreadsheets. Group stays, events, corporate enquiries and guests who need a quotation may not follow the same path as an immediate online reservation. A CRM project should start with the gaps in that journey.

My hotel CRM development service is custom development and implementation around a defined process. It is not presented as a ready-made hotel operating system. This guide explains how to plan enquiry management alongside the PMS, booking and other tools your property already uses.

Agree what belongs in the CRM and what stays in the PMS

Your PMS, booking engine, channel manager and CRM may serve different responsibilities in the actual hotel setup. Identify where room availability, reservation status and guest-stay operations are authoritative. A CRM can be scoped around customer relationships and enquiry follow-up without taking over those operational responsibilities.

Mews discusses the relationship between a hotel’s PMS and CRM. For a custom project, the important planning question is which system owns each record and which information genuinely needs to pass between them. Available integration access must be confirmed before it is promised in a quote.

ProcessOwnership question
Direct or group enquiryWhere is it recorded and who follows up?
Availability and reservation statusWhich existing system remains the source of truth?
Quotation and next actionWho approves it and tracks the response?
Guest relationship historyWhat information is appropriate to retain and use?

Map one complete enquiry journey

Choose a frequent enquiry type and describe what happens today. For example, a proposed workflow might record a group request, assign an owner, prepare a quotation for approval and track whether the organiser replied. This is a planning example, not a claim of a delivered CRM or improved bookings.

List the required inputs: contact information, preferred dates, party size, property or event needs and the next follow-up action. Decide which details are mandatory and where staff should record a change. A shared record is useful only when the team agrees how it should be maintained.

Make follow-up ownership visible

A CRM brief should explain who handles new enquiries, how reassignment works and what happens when a team member is unavailable. Define a small set of useful statuses and the conditions for changing them. Avoid adding so many stages that staff cannot distinguish progress from data entry.

  • Record the enquiry source and assigned owner.
  • Show the agreed next action and its due date.
  • Keep relevant notes and quotation versions together.
  • Provide a clear closed, lost or waiting state with a reason where useful.

If multiple properties are involved, agree which users may see and change each property’s records. Reports should reflect those responsibilities rather than mix unrelated pipelines.

Confirm integrations before designing around them

List your actual PMS, booking system, website forms and communication tools. The developer needs to know whether the required APIs, webhooks or exports are available and authorised for your subscription and setup. A logo on an integration list is not evidence that your account can support the necessary connection.

Define the data direction and what happens when a connection fails. For a reservation update, consider record identifiers, duplicate prevention and who reviews mismatches. For messaging, agree sender access, templates and the circumstances in which staff approval is required. Platform fees and third-party dependencies should be separate proposal items.

Treat guest information and outreach as defined requirements

Gather only the information needed for the agreed process and decide who can access it. Explain retention, export and deletion requirements to the implementation team. The hotel should establish the permissions and applicable rules for its intended use of guest information and communication channels.

A planning discussion does not need a guest database, payment details or identity documents in a public form. Begin with a description and an approved fictional sample. If an integration later requires private data, arrange authorised access with the responsible team.

Evaluate a pilot using your workflow

Pilot one enquiry type with the staff who will use the system. Check that they can capture a request, find the record, assign the next action and identify stalled work. Test the expected record flow and any confirmed integration with approved sample data.

Useful measures can include time to assignment, enquiries missing a next action, overdue follow-ups and duplicate records. Establish a baseline before judging change. More revenue, repeat visits or better booking conversion are business outcomes influenced by many factors; they should not be guaranteed by the development proposal.

The custom CRM versus off-the-shelf guide can help assess whether configuration of an existing tool would meet the requirement before commissioning a custom build.

Prepare a hotel CRM brief a developer can quote

Send your property type and count, the enquiry types you want to improve, current systems, user roles and the workflow from first contact to closure. Include the connections you need, available access, reporting priorities and a realistic first-phase boundary.

The proposal should separate workflow discovery, interface and record design, confirmed integrations, import or cleanup work, testing, training and ongoing support. You can review custom CRM development options and my wider development portfolio before discussing implementation.

Use the hotel CRM enquiry page to explain where enquiries are getting lost or delayed. I’ll assess a scoped solution around your hotel’s existing tools, with integration assumptions and team responsibilities made explicit.
