Moving a marketing website from HubSpot to WordPress can give your team a different publishing setup. The important question is what happens to the journey after someone clicks “contact”. Pages, forms, contact records, email workflows and reporting need separate decisions. A good-looking replacement is only useful if the right enquiry reaches the right person.

I’m Jagjeet Singh, a website developer based in India working with businesses and agency partners remotely. My HubSpot to WordPress migration service starts with the current website, available source access and a reviewable WordPress scope. This guide explains the inputs a marketing manager should gather before requesting a proposal.

Decide whether you are moving the website, the CRM or both

A website move does not automatically require replacing your CRM. You may want WordPress for public pages while continuing to use HubSpot for contacts, sales activity or marketing. Alternatively, you may be changing several systems at once. Write that boundary into the brief so a website quote does not hide a second data-migration project.

List who owns each system and who can approve changes. If an agency manages your campaigns and a different team manages HubSpot, both should be involved in the form and tracking decisions. Keep the existing setup running until the replacement journey has been checked.

Understand what a HubSpot export gives you

HubSpot documents exports for website pages, blog posts and templates. These can provide source material for a rebuild. They do not turn HubSpot themes, modules or marketing workflows into installable WordPress equivalents. Confirm the permissions and export options available in your account before assuming the source is complete.

Prepare a public URL inventory, representative page types, images, downloads and the content you want to keep. Flag private or gated pages separately. A list of pages is useful, but the developer also needs to know whether those pages share reusable sections or have individually designed layouts.

Map the lead journey before rebuilding the form

Choose one real enquiry path and document it from submission to follow-up. For example, a prospect submits a service form, an existing contact is matched, a company or owner is assigned and a team member receives a task. The exact behaviour depends on your account and implementation; describe it rather than assume an integration plugin will recreate it.

  • Record the required fields, validation rules and the confirmation page.
  • Identify the destination, duplicate-handling rules and ownership of failed submissions.
  • Decide how consent and campaign information are captured for your intended use.
  • Test the agreed notification and record-handling behaviour with authorised sample data.

You can retain a suitable embedded form or scope another integration approach. The brief should explain why the chosen option fits your editing, data and reporting needs. Do not send account passwords or customer exports through a public quote form.

Rebuild an editing model your team can use

Choose the WordPress structures before importing every page. Standard articles may become posts, repeated resource types may need structured fields and campaign pages may use native Elementor widgets and shared templates. Define which sections are global and which editors can change per page.

Start with a representative page containing a form, a reused section and a mobile layout. Ask the person who will maintain it to make an ordinary edit. This exposes content and editing problems before they are repeated across the entire site. Review my website portfolio when discussing the style and contribution relevant to your project.

Protect important URLs and campaign destinations

Create a sheet connecting each important old address with its intended destination. Preserve useful URLs where practical and plan redirects for changed ones. Include campaign links, thank-you pages, PDFs and articles that receive external links. Avoid treating the homepage as a suitable replacement for every retired page.

The launch review should cover canonicals, internal links, sitemap entries, crawl access and the agreed tracking setup. Search visibility can fluctuate during a move. Request a documented launch and monitoring plan rather than an assurance that every position will stay unchanged. The WordPress migration overview explains the wider discovery and release process.

Ask for a quote that separates rebuilding from integrations

A useful proposal separates discovery, content mapping, WordPress templates, content transfer, forms, connected systems and release checks. Hosting, paid integrations and ongoing support should have named owners and clear costs. The schedule depends on the approved scope, source access, content readiness and review cycle.

  • Public website URL and approximate page or article count.
  • Your HubSpot website and CRM boundary.
  • A list of forms, integrations, languages and important landing pages.
  • Design references, required editing controls and target release window.

Send that summary through the HubSpot migration enquiry page. We can review what belongs in the WordPress rebuild, what stays in HubSpot and what needs a technical sample before the wider implementation is agreed.
