Shopify ERP Integration for US Brands: Map Inventory, Orders and Fulfilment First
A practical development brief for merchants connecting Shopify to an ERP, inventory platform or fulfilment provider.

Illustrative workspace. Screens show concepts, not a delivered client system.
Your store and warehouse can both be working correctly while disagreeing about the same order. The product SKU might differ, a fulfilment update may arrive late, or an inventory adjustment may overwrite a newer value. Shopify ERP integration starts with those ownership decisions, not with connecting two application logos on a diagram.
For US brands, the development brief should describe the systems, locations and operational exceptions that your team actually uses. I provide remote Shopify development and supported integrations from India. I can help review the proposed data flow and implement an agreed connection, subject to the APIs and access the selected systems provide.
Choose the owner of each business record
Write down which system is authoritative for products, available stock, customer references, order status and fulfilment updates. A two-way connection without ownership rules can create loops in which both systems repeatedly replace each other’s changes.
| Record | Decision to make before development |
|---|---|
| Product identity | How Shopify variant IDs and ERP item codes are matched |
| Inventory | Which system calculates the available quantity by location |
| Order | When the ERP should receive an order and its reference |
| Fulfilment | Who provides shipment and tracking updates |
| Correction | Where staff make a change and how it reaches the other system |
Use sample records with invented or redacted customer details. Include a product with several variants and an order that represents your actual workflow. The mapping should be reviewable by the operations team, not understood only by the developer.
Compare a supported connector with custom development
An existing connector may already support your ERP and the workflows you need. Ask for a demonstration using your product and fulfilment model before assuming a custom app is necessary. Equally, a connector that copies basic orders may not cover your location rules or exception process.
List vendor fees, subscription charges, implementation work and ongoing ownership separately. Confirm which party supports each side of the connection. If the ERP vendor requires an additional API entitlement or partner involvement, that dependency should be established before a development start date is promised.
A custom integration is worth evaluating when the supported options leave a specific business requirement unresolved. The proposal should identify that requirement and its acceptance check. It should not treat “custom” as an automatic improvement over a maintained connector.
Scope locations, partial orders and corrections
A simple happy-path order is not enough for a useful integration brief. Explain how your team handles more than one stock location, split fulfilment, cancelled items and a return that does not immediately become sellable inventory. These are business rules that need named owners.
For example, a fictional homewares merchant may ship two items from separate locations. Staff need to know whether the ERP receives one order with separate fulfilments or another supported representation. The example is a design question, not a claim about an already delivered integration.
Identify what should happen if the mapping is missing or a location is unavailable. An exception queue with a useful reason can be safer than silently accepting an order the warehouse cannot interpret. Agree who reviews those exceptions and how a correction is applied.
Plan retries, reconciliation and visible failures
Shopify’s webhook documentation explains that deliveries can be duplicated, arrive out of order or be missed, and recommends reconciliation. An integration should therefore define duplicate handling, stale-update behaviour and a way to compare records after interruptions.
Ask what staff will see when an update fails. A useful error includes the affected reference and the action required, while avoiding unnecessary customer data in logs. Monitoring should distinguish a temporary retry from an item requiring intervention.
The store should not depend on a developer manually checking a server log every morning. Define the review responsibility, support route and recovery steps in the handover. A successful initial sync is only one part of operating the connection.
Agree acceptance checks with the operations team
Select representative orders and product changes before development is signed off. Include a cancelled order, a partial fulfilment, an unknown SKU and an interrupted delivery. Use a suitable test environment or a controlled production plan approved by the merchant and relevant providers.
- The same reference can be found in both systems.
- Repeating a delivery does not create duplicate business records.
- An old update does not silently replace a newer approved value.
- A staff member can identify and resolve a known exception.
- A release has a defined recovery and reconciliation procedure.
Keep finance and tax decisions with your responsible advisers and system owners. The development brief should state which approved values move between systems, without presenting a custom connector as a guarantee of accounting or tax correctness.
Prepare an integration discovery brief
Send your Shopify plan, ERP or inventory platform, fulfilment provider and the records that need to move. Include the main operational problem, approximate catalogue complexity and public API documentation where available. Explain which vendors can provide test access, without sharing keys through the website form.
I can assess the proposed workflow, identify a supported starting approach and scope implementation around agreed records and acceptance checks. The business integration planning guide covers related mapping questions, although the Shopify implementation will use the appropriate Shopify interfaces.
Use the Shopify enquiry link to describe where orders or stock currently lose consistency. That gives us a specific development requirement to evaluate rather than an undefined request to “sync everything”.
