Admissions CRM for Brunei Training Centres: Keep Course Intakes and Enquiries Together
A course-intake workflow brief that distinguishes interest, a counselling conversation and confirmed enrolment.

A learner may ask about a course before deciding which intake, schedule or delivery format fits. If every enquiry is saved only against a contact name, the training centre can lose those choices when the person returns later. A Brunei training business can scope a custom admissions CRM around the course and intake conversation, with enrolment handled through a clearly defined approval process.
Keep the course and intake separate
A course describes the learning offer; an intake represents a particular planned delivery. Keep their identifiers distinct. A change to the next intake date should not silently change the record of what an earlier applicant asked about.
Record the course version and intake selected at enquiry time. If the person is comparing several options, preserve those interests without creating several unrelated contact records. The team should be able to see the current preference and the question that still needs an answer.
- Course reference and approved description.
- Intake or preferred schedule.
- Delivery format and location, where relevant.
- Next counselling action and responsible person.
Design the first form for an enquiry
Ask only for the information needed to respond, including a usable contact number with a country-code hint. Detailed admission documents and eligibility decisions may belong later in a controlled process. A public enquiry form should not become an unexplained application portal.
The W3C’s form labelling guidance explains the association between controls and their labels. For a training enquiry, that means a learner should understand whether a field asks for a preferred intake, a confirmed choice or an optional question. Placeholder text should not carry the whole explanation.
Record counselling without implying admission
Define the outcomes staff may record after a conversation: information supplied, another discussion needed, intake changed or application requested. Use wording that reflects the actual stage. An expression of interest does not establish eligibility or reserve a place.
The centre supplies the admission rules and approved course information. The CRM can route work, retain the conversation and display the next action; it should not invent an admission decision. If an automated reminder is included, agree its audience, content and stopping condition.
Handle changes to dates and availability
Decide who updates an intake and which interested contacts need a reviewed follow-up task. Keep the original enquiry context visible so the response explains what changed. Do not silently assign everyone to a replacement date.
If capacity is tracked elsewhere, identify that authoritative system. The CRM may record an availability response from staff while a future connection is assessed. A number on a concept dashboard should be labelled fictional and should not be presented as current course capacity.
Review the enrolment handover
Choose the records and approval needed before an enquiry moves to your enrolment process. Include the selected course and intake, current contact details, outstanding questions and the responsible staff member. Agree how duplicate or returning enquiries are linked.
Pilot with fictional examples: two course interests, an intake change, an unanswered question and a learner who postpones. Ask admissions and course administration to review the same record. Their handover should be usable without copying an entire message thread.
Does this replace our student system? It can focus on pre-enrolment work while the existing system remains responsible for enrolled students. Assess that boundary before expanding scope.

Discuss a scoped implementation
Send the course and intake structure, current enquiry sources and enrolment handover steps. We can scope one training programme first, then assess wider rollout once the team has reviewed the workflow.
