Admissions CRM for Qatar Colleges: Route Programme Enquiries to the Right Team
A custom admissions workflow brief for getting a prospective student’s programme question to the team that can answer it.

A prospective student may ask about a programme, its schedule or an application step before being ready to apply. If that enquiry reaches a general inbox without a programme reference, the first reply can become another request for information already supplied. A Qatar college can scope a custom admissions CRM around accurate routing and counselling ownership, with admission decisions kept in the authorised institutional process.
Define the programme enquiry record
Keep the prospective contact, enquiry and programme interest distinct. One person may compare several programmes or return for another intake. Preserve the question and selected reference at submission time rather than relying on the latest contact note.
The programme catalogue should have an owner and approved information. If an offer changes, staff need to distinguish current published details from what the person originally asked about. The CRM can retain that context without treating every enquiry as an application.
Route by a maintained programme map
Choose the responsible team for each programme or enquiry type and an explicit fallback. A withdrawn programme, incomplete selection or unavailable counsellor should not leave the enquiry unassigned. Record who maintains the routing map as organisational responsibilities change.
For a WordPress-connected implementation, structured content types can support distinct records. The actual CRM architecture and routing still need custom assessment; registering a record type does not establish an admissions workflow.
Collect only the first-stage information
A public enquiry can ask for contact details, programme interest and a short question. Use a required mobile number with a country-code hint and clear language. Detailed transcripts, identity documents and sensitive personal information may belong in a separate controlled application process.
Explain the next step using approved institutional wording. A successful enquiry confirmation should not suggest that eligibility has been established, a place is reserved or the application has been approved.
Make counselling ownership visible
Record the responsible person, information supplied and next action. If the enquiry moves to another team, preserve the programme and original question. A handover should not force the visitor to restart the discussion.
Define the boundaries of reminders and automated replies. They may acknowledge a request or point to approved information, while substantive admission or eligibility decisions remain with authorised staff. Agree the stopping conditions when the person withdraws interest or changes programme.
Test the application handover with exceptions
Choose the reference and approval needed when the person moves into the application system. Decide whether the CRM creates a task, links an existing record or uses an assessed interface. A system connection must preserve the identifiers and permitted data involved.
- Known and missing programme references route correctly.
- Returning contacts retain distinct enquiries.
- Counselling tasks have a responsible owner.
- Messages reflect the actual stage.
- Application handover does not imply admission.
Can the college retain its current student system? Potentially. The CRM can focus on enquiry and counselling work while a separate application or student system remains authoritative for later stages.

Discuss a scoped implementation
Describe programme identifiers, enquiry channels, team ownership and the application system. We can scope one programme route and its handover before expanding to the wider college.
