A parent may enquire about one subject, request a trial and later ask about a different class. A tuition centre can lose that context when every message becomes another contact note. For a Singapore centre considering a custom admissions CRM, separate the contact, learner interest and trial request so staff can see the next action without mistaking interest for confirmed enrolment.

Represent the contact and learner interests deliberately

One contact may discuss more than one learner or subject. Define the minimum relationship the centre needs to manage the enquiry, rather than duplicating the contact for every class. Avoid collecting unnecessary personal detail in the first public request.

Use the centre’s approved wording and process for parent or guardian communication. The institution supplies its information-handling requirements; the software scope implements the agreed fields and responsibilities.

  • Responsible contact and country-code telephone.
  • Subject or programme interest.
  • Requested trial or preferred schedule.
  • Staff owner and next follow-up.

Keep a trial request separate from a confirmed place

Define which system or person controls class availability. The enquiry form can collect a preferred trial, but it should not promise a place until the authorised process confirms it. Display the difference in the customer message and staff view.

W3C’s form-control guidance supports clearly labelled inputs. For this workflow, “preferred trial date” and “confirmed class” have different meanings and should not share an ambiguous label. The visitor should understand what has actually been requested.

Record attendance and the next conversation

After a trial, staff may need to record attendance, a follow-up discussion or a changed subject interest. Define who can enter that outcome and which details are appropriate to the CRM. An attendance marker should not automatically become an admission or educational judgement.

Keep the next action visible and avoid sending repeated reminders after the family has changed its preference. Approved message content and stopping conditions belong in the workflow scope.

Prepare the enrolment handover

Identify the decision and reference needed before the enquiry becomes an enrolment record in the authoritative system. A reviewed task may be sufficient for the first release. A connected operation needs supported access, field mapping and visible error handling.

Retain the selected programme and trial context so the receiving team does not restart the discussion. Keep detailed student documents in the institution’s appropriate controlled process rather than attaching them indiscriminately to the public enquiry record.

Pilot a family with more than one interest

Use fictional examples for two subject interests, a rescheduled trial, non-attendance and a changed contact preference. Ask enquiry staff and enrolment administrators to identify the current task and the information they are authorised to use.

  • The contact is not duplicated unnecessarily.
  • Trial request and confirmation remain distinct.
  • Follow-up reflects the current interest.
  • Enrolment requires the approved handover.
  • Concept records contain no real learner information.

Does this replace a learning platform? Not necessarily. A custom CRM can focus on enquiry and trial follow-up while the existing student or learning system remains in place.

Discuss a scoped implementation

Describe the enquiry sources, class structure, trial process and enrolment tools. We can scope a representative custom workflow for your Singapore centre before assessing a wider rollout.
