AI Workflow Automation for Singapore SMEs: Prepare Procurement Requests for Human Approval
A limited automation brief for preparing purchasing information for review while an authorised person controls the commercial decision.

A purchasing request may arrive with a supplier quote, incomplete item details and an approval discussion spread across messages. For a Singapore SME, an AI workflow pilot can prepare a consistent review record and highlight missing information. The first useful goal is an accountable request ready for a person’s decision, not an assistant making purchases or approving suppliers on its own.
Choose a bounded request type
Start with one recurring purchase-request process and the documents it uses. Identify the required fields, authoritative supplier reference and person who owns the request. Keep unusual categories outside the first pilot until their rules are understood.
IMDA’s refreshed Retail Industry Digital Plan factsheet illustrates an approach to matching digital solutions to operational needs. This is an independent custom development offer, not an IMDA-approved solution or grant-eligibility claim. The pilot should follow the business’s actual operating need.
Separate extracted suggestions from verified facts
AI may help identify item descriptions or proposed quantities from an approved document. Keep the source reference and allow the reviewer to inspect the evidence. A confidently extracted value should not become an approved amount without the business’s required checks.
Define what happens when a document is unclear, contradictory or missing a field. Route the request for clarification instead of filling gaps with plausible details. Preserve the original input in the approved storage arrangement.
Build a human approval stage
Microsoft’s Power Automate approvals documentation describes sign-off requests that wait for human responses. It is one example of an approval pattern; the chosen platform, licences, access and deployment requirements must be assessed for the actual organisation.
The business defines the approvers, limits and conditions. A recommendation or categorisation is not permission to place an order. Keep purchasing authority and supplier decisions in the authorised human process.
Control the handover to operational systems
Decide whether the pilot creates a reviewed task, prepares a draft record or calls a supported purchasing interface after approval. Those operations have different consequences and need explicit scope. Do not silently turn a document-processing demonstration into a production purchasing action.
Keep a stable request reference and handle repeated triggers without duplicating downstream work. A failed transfer should remain visible and should not be displayed as a completed purchase. Financial account changes and payment instructions remain outside an ordinary request-preparation pilot.
Evaluate exceptions before extending automation
Use fictional examples for a missing quantity, conflicting quote versions, an unknown supplier reference and a repeated document. Review extraction quality, source traceability and approval behaviour together. A high extraction score alone does not establish a safe business workflow.
- Required fields have reviewable evidence.
- Missing information is not invented.
- Approvers receive the intended record.
- No commitment occurs before the approved decision.
- Repeated or failed handovers are visible.
Will AI remove the approval process? The pilot supports preparation and routing. Any later change to decision authority requires its own explicit assessment and business approval.

Discuss a scoped implementation
Describe one request type, approved source documents, required fields and the people who authorise the next step. We can scope a custom AI-assisted workflow and its review evidence before connecting more systems.
