Hotel CRM Development for Dubai: Track Group and Event Enquiries Before Booking
A custom implementation brief for Dubai hotels that need sales enquiries, date alternatives and proposal decisions to remain clear before operational booking.

A hotel group enquiry may involve several date options, room requirements and an event component before anyone confirms a booking. When those details move through separate email threads, the sales and reservations teams can lose track of the latest proposal or the person responsible for the next decision.
My hotel CRM development service is available to Dubai hospitality teams through remote custom development and implementation from India. The scope starts with enquiry handling and handover; booking inventory and property-management responsibilities are defined separately.
Separate the opportunity from the confirmed reservation
Choose what the sales record represents: an organiser’s enquiry, a proposed group stay or an event requirement. Record its current decision status and the source of the confirmed booking information. A request for rooms is not evidence that those rooms have been allocated.
Oracle’s OPERA Cloud block documentation provides a concrete example of room blocks and the later creation of named reservations. It illustrates why sales context and operational allocation are different concepts. Your custom CRM needs a boundary agreed around the hotel’s actual systems; it does not inherit Oracle capabilities automatically.
Identify which system and role can confirm availability. The CRM should display or record that information only through the agreed process.
Keep date and requirement alternatives together
An organiser may compare several arrival dates, room mixes or event layouts. Decide how alternatives are represented and which one is currently under review. Overwriting the previous values can make it difficult to explain what changed between proposals.
| Enquiry detail | Workflow decision |
|---|---|
| Organiser and company | Who is authorised to discuss and approve the requirement |
| Date alternatives | Which option is current and which remain under consideration |
| Rooms or attendee estimate | How the request differs from confirmed allocation |
| Event requirements | Which team reviews space, catering or other details |
| Decision and next action | Who follows up and when |
Collect the preliminary information the sales team actually needs. Named guest or rooming-list records may belong later in an appropriately controlled operational process.
Define proposal versions and approvals
Give each proposal a traceable reference and status. Record the requirements it was based on, the person who reviewed it and the next decision expected. The business supplies approved rates, commercial conditions and customer-facing wording.
If the organiser changes dates or requirements, decide whether the existing proposal is revised or replaced. The staff view should make the current version clear while preserving relevant history. A generic note labelled “quote sent” can hide those differences.
Define which changes need another internal review. An automated message should not make an availability or commercial commitment that the responsible team has not approved.
Plan the sales-to-operations handover
Choose the information and approval required before the enquiry moves to reservations or an event team. Include the accepted proposal reference, approved requirements, responsible contacts and unresolved dependencies. Decide who acknowledges the handover.
- The current approved date and requirement option.
- The proposal or decision reference.
- The operational record or system that becomes authoritative.
- Outstanding input and its owner.
- The role confirming the next operational step.
A CRM action may create a task, link a record or call a supported API. Those behaviours have different scopes. Confirm the intended result before displaying a completed-booking status.
Assess PMS or event-system integration with a sample
Ask the system owner to confirm supported access, version and permitted operations. A property-management system being named in the brief does not prove that the required interface is available to your account. Use authorised test arrangements where a connected operation is in scope.
Document the identifiers and field map between the enquiry and the operational record. Decide how updates, cancellations and failed transfers are handled. The implementation should make exceptions visible rather than silently showing a successful handover when a request has failed.
The hotel CRM and PMS planning guide provides a broader architecture discussion. This group-enquiry brief narrows the first workflow to sales context and a reviewable operational boundary.
Pilot a representative group enquiry
Use fictional examples for an ordinary enquiry, changed dates, several proposal versions and a missing approval. Ask both sales and operations to review the result. The concept dashboard should be labelled clearly, and the production implementation should then be checked with approved data.
Does this replace the PMS? The scope may support pre-booking sales work while the existing PMS remains responsible for operational records. Confirm that division during discovery.
Can the CRM promise room availability? Only the agreed authoritative process can establish availability. A proposal-stage field should not be treated as a reservation.
Can we extend the workflow later? Yes, after assessing additional requirements and interfaces. Keep the pilot focused on one usable enquiry and handover route.
Request a group-sales CRM assessment
Share the enquiry sources, current sales process, date alternatives and proposal workflow. Include the systems used by reservations or events and the people responsible for access and approval. Start with anonymised fields and examples rather than a guest-data export.
I can review that brief and scope custom CRM development, a pilot or an integration assessment for your Dubai hotel. Discuss your group and event enquiry workflow to define the first release and the handover it needs to support.
