An RFQ can change several times before a supplier or contractor sends the final offer. Revised quantities, drawings or delivery assumptions may arrive in different messages. A custom CRM for a Qatar business should make the current request and quotation version explicit, so the sales team does not respond to an outdated specification or hand over the wrong offer.

Keep the RFQ reference independent of the quote

Assign a request record that can contain the original scope and subsequent revisions. Link each quotation version to the request version it answers. A new PDF upload should not silently overwrite the evidence behind an earlier offer.

Record the customer contact, specification reference, commercial owner and review state. Where a request contains several line items, keep each item’s identifier, quantity and unit attached to the relevant version. A free-text note may be insufficient for reliable later comparison.

Define attachment ownership and permitted use

Decide which documents the team can collect, where they belong and who can open them. Technical drawings and customer specifications may need a controlled channel instead of a public unrestricted upload.

The OWASP file-upload guidance describes controls such as permitted types, size limits and appropriate storage. These controls need to be assessed in the actual implementation; a file-picker control alone does not provide a safe document workflow.

Keep the approved revision reference visible to the person preparing the offer.

Make scope changes reviewable

Define the changes that require engineering review, pricing review or customer clarification. The business supplies those rules and the approved commercial information. The CRM can create the task and retain the decision without inventing a technical or commercial approval.

An amended RFQ should show what changed and which quotation is now under review. Staff should be able to compare the relevant fields or references without opening every message in the original conversation.

Track the offer and its decision separately

Use distinct states for internal draft, approved for issue, sent and accepted through the business’s agreed process. A promising discussion does not establish that the customer accepted a particular price or scope.

If reminders are included, decide who receives them and when they stop. A reminder should reference the current offer and should not automatically extend validity or change terms. Those commercial decisions remain with the authorised team.

Review the accepted-order handover

Specify which records pass to the next operational system or person: the accepted quote, agreed specification, quantities and unresolved conditions. ERP or accounting transfers depend on supported access and an assessed operation; they should not be assumed from a general integration claim.

Pilot a quantity change, a superseded drawing, a second quotation and an acceptance with a clarification still outstanding. Ask sales and operations to identify what they may act on. Use fictional examples for the initial demonstration.

Is this a finished industry product? This offer is custom development and implementation. The workflow and connections are scoped around the business and reviewed before a wider rollout.

For the wider implementation decisions, see the manufacturing CRM planning guide.

Discuss a scoped implementation

Send an anonymised RFQ sequence, current quotation tools and the approval stages involved. We can scope a version-aware CRM pilot and the commercial handover your Qatar team needs.
